Position Overview:
We are looking for an Event Manager and an Event Coordinator to join our event management team.
The Event Manager role works directly with clients to plan and manage small, large and major events across all venues.
The Event Coordinator role is an excellent events opportunity that combines both shifts working on the floor, as well as coordinating small events at State Library Victoria for a rounded experience to develop skills in both operations and event management. Perfect for anyone wanting to get into Event Management, or possibly a Front of House person who is looking to gain experience in the admin side of things.

Main Duties:

Event Manager
  • End to end management of events from signed contract to execution, while providing the highest level of customer service with attention to detail.
  • Liaise with clients to discuss details of events and keep systems up to date with details.
  • Coordinate bump ins and outs with suppliers and contractors.
  • Collaborate with other departments to facilitate operational requirements for events.
  • Manage event planning and execution timelines, ensuring everything stays on track. 

Event Coordinator:
  • Tuesday - Saturday work week. 3 days admin, 2 days as a floorstaff. Admin takes precedence so if more admin is required, there will be less time on the floor.
  • Coordinate internal State Library Victoria events for the State Library team.
  • Build strong work relationships with our internal clients, suppliers and other teams.
  • Work as part of the operations team on the floor serving food and beverage during events. 
  • Assist and support the Event Management and Operations team with various admin and ad hoc tasks.

Skills/Experience Required:

  • Strong organisational, administration and time management abilities.
  • At least 3 years Event Coordination experience for Event Manager role.
  • At least 3 years experience in Hospitality.
  • Exceptional customer service and high attention to detail. 
  • Excellent communication and interpersonal skills.
  • Proficiency in using Microsoft office.

This role will see you delivering exceptional service to our rental guests by guiding them through the vehicle hand over and return. Who We Are Looking For

We are looking for an experienced and passionate Manager who can meet targets and drive outcomes for our customers and organisation. We want someone who can hit the ground running, think on their feet and deliver amazing food and service to our customers. You will have excellent people skills with the ability to communicate clearly and effectively. You’ll be able to think strategically, creatively and proactively in a fast-paced environment. Previous experience in a similar role is essential.

KEY TASKS & ACCOUNTABILITIES

The main duties of this position include:

  • Manage all aspects of Home Ground operations (including day-to-day operation, front of house, kitchen, rostering, and venue management);
  • Negotiate and manage relationships with suppliers
  • Oversee bookings and functions, ensuring the efficient and effective front and back of house services and act as first point of contact;
  • Ensure the delivery of high service standards and products to create a loyal customer base
  • Manage cafe finances, including income and expenditure, with monthly reporting and cost of goods alignment within pre-defined parameters;
  • Manage stock-takes and ordering;
  • Manage cash handling and banking;
  • Manage staff rostering and associated costs;
  • Review and assess the success of the venue's offering and recommend changes where required
  • Manage the performance of all reporting staff and identify training and development 

QUALIFICATIONS, KNOWLEDGE AND EXPERIENCE SELECTION CRITERIA

Essential

  • Experience in a similar role or at least 2 years in a hospitality supervisory role;
  • Strong understanding of the Food & Beverage operations including costs, stock control, and food safety;
  • Proven experience leading, managing, motivating and rostering teams;
  • Demonstrated problem-solving skills which use creative and imaginative approaches to find innovative solutions to challenges that arise;
  • Understanding all menu recipe and dietary information (such as coeliac, gluten free, halal, dairy free, pescatarian and vegan & vegetarian)
  • Complying with Arc WHS & Injury Management policy and procedures to actively participate in creating a safe working culture
  • Actively engaging in fair and equitable workplace practices and behaviour to ensure discrimination free workplace in accordance with legislative requirements
  • Maintaining an awareness of Arc's environmental policies and procedures minimising the impact of Arc's business on the environment;

Desirable Criteria

  • Deliver exceptional customer service across all areas of the Club

  • Safely operate the Plus Bus to transport members and guests between venues and local destinations

  • Provide professional service in the bottle shop and gaming room, ensuring compliance with RSA and RCG standards

  • Maintain a clean and professional presentation

  • Support the creation of a safe, welcoming, and inclusive environment

What You’ll Bring
  • Extreme passion for customer service and creating exceptional guest experiences

  • Current RSA and RCG competency cards (mandatory)

  • Current driver’s licence suitable for operating the Plus Bus

  • Availability to work a range of shifts between 9am and 2:30am, including weekends and public holidays

  • Excellent communication and interpersonal skills

  • Reliability, teamwork, and a strong work ethic
