Duties & responsibilities:
Take ownership of inbox and calendar management, ensuring communication and meetings are aligned with key priorities

Prepare reports, presentations, and correspondence to a professional standard

About the role
Are you a detail-oriented administrator with a passion for governance and supporting decision making processes? We are looking for a proactive Governance Support Officer to join our Corporate & Governance team and play a key role in supporting Council and Committee meetings, ensuring a smooth operation.
As the Governance Support Officer, you will provide professional administrative and governance support across the division and a range of formal and informal meetings, including Council, Audit & Risk, CEO Performance Review Panels and more. You will be instrumental in preparing agendas, coordinating logistics, maintaining records and liaising with internal departments to ensure timely and accurate delivery of governance materials.
Key Responsibilities
Contribute to the preparation of meetings, including room bookings, catering and technology setup.
Electronically register and publish agendas, minutes, meeting notes and other statutory documents.
Maintain elected member calendars and upload meeting schedules to the City’s website.
Provide administrative support to senior leaders including correspondence, document management and internal reporting.

About You

The Role:
As Operations Coordinator, you’ll work closely with the General Manager to bridge the gap between estimating, admin, and site delivery. This is a key role designed to remove bottlenecks and free up leadership to focus on growth and external relationships.
You’ll be responsible for coordinating internal workflows, tracking tenders, ensuring deadlines are met, and holding various teams accountable - from estimators and site staff to marketing and admin. You’ll also help manage the tender register, project documentation, and act as the GM’s right hand for operations, reporting, and follow-ups.
Typical duties include:
Estimating & Tender Management
Oversee estimating workflows in collaboration with the estimating team.
Manage tender submissions, ensuring accuracy, quality, and compliance.
