Job Overview: We are seeking a highly organized and proactive Operations Assistant to join our dynamic team. This role is pivotal in ensuring smooth service delivery, providing essential support in recruitment, scheduling, and compliance of support workers. The Operations Assistant will also serve as the first point of contact for any issues and will liaise directly with clients to ensure their needs are met.
Key Responsibilities:
Scheduling: Coordinate and manage the schedules of support workers, ensuring optimal coverage and efficiency. Make adjustments as needed to accommodate client needs and staff availability.
Client Liaison: Regularly communicate with clients to understand their needs, preferences, and any concerns. Ensure that the support workers assigned to them are meeting their expectations, and address any issues promptly.
Compliance: Assist in maintaining compliance with all relevant regulations and guidelines. Ensure all support workers meet the necessary qualifications, certifications, and training requirements.
Recruitment: Support the recruitment process by assisting with job postings, screening applicants, coordinating interviews, and managing onboarding processes for new support workers.
Client Interaction: Act as the first point of contact for clients and support workers regarding any operational issues. Provide timely and effective resolutions to ensure a high level of satisfaction.
Team Collaboration: Work closely with the operations team to ensure smooth service delivery for every client. Participate in team meetings and contribute to continuous improvement initiatives.
Documentation: Maintain accurate records of schedules, compliance documents, and recruitment activities. Ensure that all documentation is up-to-date and easily accessible.
Qualifications:
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent communication and interpersonal skills, with the ability to problem solve.
Proficiency in Microsoft Office Suite and experience with any scheduling software is a plus.
A positive attitude with a focus on delivering high-quality service.
Previous experience in an administrative or operations support role, preferably within the healthcare or disability services sector (preferred).
