We are a fast-paced construction company seeking a diligent and organised Administration Assistant to join our team. The ideal candidate will play a crucial role in ensuring smooth communication and coordination between Customers, Clients and internal stakeholders. This role is a full-time position.
Responsibilities:
Efficiently enter new jobs and projects into the company's system, ensuring accuracy and completeness of information.
Schedule site attendances, coordinating with estimators, supervisors, customers, and clients to ensure timely completion of tasks.
Handle inbound and outbound customer calls, providing exceptional service and addressing inquiries or concerns professionally.
Assist in client reporting by compiling relevant data, generating reports, and ensuring timely delivery to clients.
Submission of quotes and reports to clients.
Invoicing.
Maintain records and documentation related to projects and client communications.
Other administrative tasks and duties as assigned.
Requirements:
Previous experience in administrative roles within the construction industry.
Proficiency in computer applications, including MS Office Suite (Word, Excel, Outlook).
Strong organisational skills with keen attention to detail.
Excellent communication skills, both written and verbal.
Ability to prioritise tasks and manage time effectively in a fast-paced environment.
Proactive attitude with a willingness to take on new challenges and responsibilities.

About you:
We are seeking a mature, responsible and motivated Office Administrator who thrives in a small business environment where initiative, accountability and sound business practices matter.
You will have strong organisational ability, excellent communication skills, and the confidence to run general office operations autonomously.
This role includes office administration, customer service, assisting with counter sales, basic website/e-commerce product updates, preparing quotes, and responding to online enquiries. You’ll enjoy variety, responsibility, and the satisfaction of contributing directly to business growth.
This is a full-time position with flexible hours (minimum 30 per week) for the right applicant.

Job tasks and responsibilitiesYou will share responsibility for the daily administration and running of the office and play a pivotal role across the business.
As the first point of contact for ISG, you must be well-presented, confident and professional — both face-to-face and over the phone.
The role includes:
Customer service and reception duties
Sales and order entry
Preparing quotes and responding to enquiries
Dispatch and receipting of goods
Office organisation and document control
Assisting with e-commerce/website product updates
Supporting inventory and supply chain functions
General administrative duties to maintain efficient business operations

Previous office administration experience

Based in our South Australian head office, the Financial Accountant will undertake comprehensive and practical ownership for the end-to-end accounting lifecycle, including but not limited to, overseeing month-end processes, managing the balance sheet, and leading audit preparations.
Reporting to the Finance and Commercial Manager, you will provide indirect leadership and mentoring to the Accounts Payable and Accounts Receivable functions, while supporting and collaborating with other key internal and external stakeholders to ensure quality and control over financial functions. As the key accounting expert within the business, you will be instrumental in maintaining financial accuracy and supporting strategic financial decisions within Maxima.

About the Role
As System Accountant/Management & Consolidation Accountant, you will be responsible for the financial governance and strategy across financial accounting, reporting, tax, accounts payable/receivable and payroll. You must ensure the operational finance activities are being performed effectively and efficiently.
Experience in property management, real estate transactions, or investment portfolio accounting would be highly regarded.
What You'll do
Managing the day-to-day finance and accounting operations, including accounts payable & receivable, inventory management, general ledger reconciliations, payroll processing, cash flow management, forecasting, insurance and tax (indirect/direct).
Development and implementation of financial governance and strategy, including risk minimisation plans.
Identify, improve, and implement systems, policies, and processes to ensure robust financial monitoring and controls.
Review of accounting policies and technical position papers with respect to accounting standards.
Provision of relevant, timely and accurate financial information, including cashflow management reports, job costings, financial dashboards and full management reports to track & forecast performance, and guide decision making.
Board reporting, including supporting analysis and commentary
Experience in preparing board papers and presenting financial reports to senior executives or board members
Annual budget preparation and reforecasts as required
Preparing company tax and BAS statements in conjunction with external accountants.
Ensure compliance with relevant statutory law and financial regulations
Management of external auditors as required
Experience coordinating and managing external audit processes and liaising with audit firms
About the Role
CA/CPA qualified
At least 5 years of experience in a similar role
Demonstrated experience managing and mentoring finance team members (minimum 2 years)
Power BI and Microsoft Dynamics Proficient
Proficiency in Microsoft Dynamics 365 Finance & Operations (minimum 2 years of experience preferred)
Advanced Microsoft Excel skills, including pivot tables, financial modelling and data analysis
Strong accounting technical skills, including sound knowledge of accounting principles, standards and procedures
Strong technical knowledge of Australian Accounting Standards (AASB) and IFRS
Knowledge of relevant legislation.
Knowledge of the Corporations Act, ASIC reporting requirements, and superannuation guarantee obligations
Comprehensive knowledge of Australian taxation laws, GST, FBT, and corporate tax regulations
Strong interpersonal and communication skills.
Well-developed leadership and mentoring qualities.
Self-starter attitude, delivery-oriented and invested in the long-term success.
Proactively inspire and lead the finance function, provide energy, inspiration and direction, implementing change management techniques and process improvement where necessary.
Experience in property management, real estate, investment funds, or asset management (highly regarded)
