The Role
A few words come to mind when recruiting for this rare, career-defining opportunity: fast-paced, high-impact, and genuinely inspiring. This is not your average EA role.
You’ll be the strategic right hand to a dynamic, entrepreneurial CEO who leads one of Australia’s most respected Investment Groups. This Executive is sharp, driven, and visionary, and they’re looking for someone who can match their pace and precision.
Supporting across both business and personal matters, you’ll bring structure to chaos, stay several steps ahead, and ensure every detail is flawlessly executed. Discretion, agility, and a calm, solution-oriented mindset will be second nature as you manage complex priorities and keep the engine running behind the scenes.
Day to Day - Own and manage an ever-shifting calendar, flagging conflicts and adjusting priorities in real time
- Coordinate extensive domestic and international travel, including flights, accommodation, transfers, itineraries, and visa arrangements
- Act as a true gatekeeper, triaging communications, filtering distractions, and ensuring only what’s essential reaches your Executive
- Prepare detailed briefing packs, board papers, and meeting documentation, often with short turnaround times
- Liaise with investors, advisors, family office personnel, and high-level external stakeholders with polish and professionalism
- Support private matters including property, travel, and personal appointments, always maintaining complete confidentiality
- Anticipate needs before they arise, whether it’s prepping for a pitch meeting or making sure the right people are in the room
- Coordinate events, private dinners, and boardroom meetings with an impeccable eye for detail
- Build trusted relationships across the business, acting as the conduit between your Executive and the wider team
You'll Need
- Minimum 5+ years' experience supporting a C-suite Executive or HNWI in a high-pressure environment (investment, legal or family office exposure highly regarded)
- Highly developed stakeholder management skills, you know how to handle big personalities with discretion and diplomacy
- Proven experience working at pace, with agility and unflappable poise
- Gatekeeping instincts and sound judgement, you know when to push, when to pause, and when to say no
- No task is too big or too small; you take pride in being indispensable
- Strong Microsoft Office skills (Outlook, Word, PowerPoint, Excel)
- Discretion, loyalty, and a calm, composed presence in any room
