A recently established Respiratory & Sleep Medicine practice is seeking to appoint a part time Medical Receptionists/Administrators to join their team at Greenslopes Private Hospital.


The part-time position on offer is two days (16 hours) a week. Flexibility to change workdays and temporarily increase work hours is greatly desired to cover holiday leave or sick leave.


Remuneration:

A salary within the range of $30 - $34 p/hour + super will be considered for a suitably experienced candidate.


Key duties and responsibilities will include (but not limited to):

  • Responding to incoming phone calls in a courteous and professional manner

  • Managing all patient appointments, including cancellation list and ensuring GP referrals are up to date

  • Meet and greet of patients visiting the practice

  • Assisting with general patient enquiries via telephone and email with a polite disposition

  • Managing all patient recalls in conjunction with the specialists

  • Maintain a high quality of record keeping for patient files (utilising the practice scanning facilities)

  • Preparing and running patient clinics

  • Managing accuracy with patient data entry into Xestro software

  • Ensuring all patient results and correspondence are on file in preparation for their consultation

  • Reviewing upcoming clinics and ensuring all patient records are in order before the day of clinic and appointment reminders have been sent out to patients

  • Ensure high level of confidentiality of medical records (both printed and electronic copies)

  • Processing of all patient billing/receipting for consultations

  • Attend to electronic, verbal and written tasks from clinicians in a professional, responsible and timely manner


In addition to the key duties and responsibilities, Candidates must be able to demonstrate:

  • A strong desire to provide a high level of service to the patients of the practice

  • A minimum of 12 months experience as a Medical Receptionist, Administrator or Medical Secretary     

  • Immaculate personal presentation by maintaining practice dress standards. 

  • An exemplary telephone manner and a compassionate demeanour.  A warm and caring approach towards the patients

  • Exceptional communication and interpersonal skills including the ability to tactfully handle difficult interactions with patients or family members.

  • Strong work ethic and reliability

  • Strong time management and organisational skills along with the ability to prioritise your workload efficiently. 

  • Ability to perform under pressure while maintaining a high level of attention to detail

  • Previous experience using Xestro practice management software would be highly regarded.  If not, experience with other practice management software such as Genie or Gentu.

  • Proficiency with patient billing, including Medicare, Private Health Funds, DVA and WorkCover

The Team:

The Department of Health seeks a highly motivated and team orientated Radiation Therapist at the WP Holman Clinic, Hobart, Tasmania. The department has 2 Varian linear accelerators, Canon CT simulator, Eclipse planning system and a Gulmay superficial x-ray unit. The Radiation Therapist is responsible for the planning and treatment of patients as prescribed by a Radiation Oncologist under the supervision of a Senior Radiation Therapist or Area Supervisor. Radiation Therapy techniques in use at the WP Holman Clinic include IGRT, VMAT, DIBH, SBRT & SRT.

The Holman Clinic is part of the Cancer and Blood Services stream at the Royal Hobart Hospital, which provides an integrated radiation therapy, medical oncology and haematological service to Southern Tasmania. 

The Role:

As a Radiation Therapist at the WP Holman Clinic you'll be responsible for:

  • Carrying out radiation therapy planning and treatment of patients as prescribed by a Radiation Oncologist.
  • Associated duties include patient care, general and technical administration.

About the Victorian Perinatal Autopsy Service (VPAS)

VPAS is a collaboration between the Women's (Lead service), Monash Medical Centre and Mercy Hospital for Women (and their associated laboratory services). VPAS provides perinatal autopsies for the Victorian community. A key part of our VPAS team are the Perinatal Autopsy Coordinator team. This group coordinate the autopsies by supporting clinical referrers and laboratory teams receiving the autopsy. They also provide information to families who have decided to have an autopsy for their baby. The VPAS team, based at the Women's, is responsible for the governance of the service, and ensuring consistent standards of practice and expertise for the clinical investigation of perinatal deaths across the state.
About the role

As one of the VPAS Perinatal Autopsy Coordinator's (PAC) you will help to reduce barriers to autopsy by supporting clinicians referring a baby for autopsy, and making the practical arrangements required between referring hospitals, mortuary transport/ funeral providers, and the pathology laboratories. You will also provide support and information to families who decide to have an autopsy for their baby.

Key responsibilities will see you:
• Work collaboratively with other VPAS administrative and laboratory staff to coordinate perinatal autopsies from around Victoria
• Provide information and advice to clinical referrers about issues related to perinatal autopsy, accepting perinatal autopsy referrals, collating the required clinical information and coordinating the process of arranging transport to autopsy
• Provide advice and information to families who have consented for an autopsy for their baby
• Support the ongoing development of the VPAS database and utilise this and other digital tools to track and record autopsy data
• Participate in service evaluation and support systemwide capacity-building activities and clinical education

While perinatal autopsy can at times be a confronting environment to work in, this role provides a wonderful opportunity to support clinicians, laboratory staff and families during a difficult time. Investigating perinatal deaths assists bereaved families in understanding their loss and contributes to improving the health of future mothers and babies.

About you

You will be someone who is comfortable working within the sensitive environment of perinatal death, and are able to maintain a calm and professional demeanour in challenging situations. You'll have excellent communication and interpersonal skills, including the ability to build and maintain strong, collaborative working relationships with a diverse range of stakeholders.

You'll bring with you:
• AHPRA Registration as a Division 1 Nurse or Midwife and relevant clinical experience in neonatal nursing, midwifery, anatomical pathology etc; OR
• Equivalent Allied Health registration and experience (Social Worker, Genetic Counseller etc)
• The ability to plan, prioritise and time manage in a challenging operational environment
• A can-do attitude, you show initiative and look out for other members of the team who may need support

Dermatology Clinics Australia (DCA) is Brisbane’s Centre of Excellence in Dermatology, led by world-renowned dermatologist Dr Shobhan Manoharan. We combine medical, surgical, laser, and cosmetic dermatology under one roof, with access to Australia’s largest suite of state-of-the-art lasers and advanced treatments.

We are looking for an experienced Medical Receptionist to join the essential core of our practice, to be the point of contact for our patients, providing outstanding experiences for both existing and prospective patients.

Your Role & Responsibilities

Reporting to the Practice Manager, your responsibilities will include, however are not limited to:

  • Face to face interaction with patients

  • Welcoming patients to the clinic in a professional, friendly and prompt manner

  • Ensuring all paperwork is completed fully and added to patient files

  • Processing correct billing including Medicare and DVA claims

  • Ensuring all patients have their next booking made before leaving the practice

  • Ensuring all procedural patients have the correct post-care bookings made

  • Providing back end support to practitioners and patients

  • Completing end of day in with excellent attention to detail, including processing Medicare claims

  • Answering patient enquiries via phone and email in a timely manner

  • Ensuring the clinic is well presented, clean and tidy at all times

  • Reviewing and sending letters to referring specialists

  • Ensuring all photographs are uploaded to the patient files

  • Providing administrative support to practitioners to ensure smooth running of their lists.

  • Confirmations appointments and taking deposits 

  • Following up with patients regularly to ensure that they are up to date with their prescribed treatment plan

  • Prioritising tasks to ensure that a high quality of care is delivered to all patients


Experience Required

  • Previous experience in medical administration is favourable

  • Excellent interpersonal and communication skills

  • A strong commitment to patients and outcomes

  • A desire to help people with the management of their condition long term

  • Excellent organisational and time management skills, with the ability to prioritise tasks well
