About the role

The position is base at Lanterns House – a homey art deco house in Belmont, where our Find & Connect Support Service and Forced Adoption Support Service are based. We are a small team who are dedicated to supporting our members who have very diverse interesting lives and who have been impacted by trauma. Our members love getting together at regular events, morning teas and luncheons. They love a good conversation, a few laughs and yummy food.
We need someone who would love to cook tasty treats for the social gatherings at the house, to coordinate small events, manage activity and venue bookings as well as provide general admin support, including answering the phones and greeting members.
The current vacancy is 15 hours per week.
Skills, experience, and qualifications
Essential:
Ability to prepare a variety of quality meals efficiently, and within high food hygiene standards of practice.
Ability to maintain kitchen and function areas to a high standard of safety, cleanliness, and order, and to adhere to workplace safety principals.
Warm, welcoming, engaging manner, creating a welcoming considerate environment for all attending.
Understanding of and commitment to client confidentiality, privacy, and dignity
Ability to design, plan, negotiate, manage, and engage in socialisation activities with clients, excellent communication, and interpersonal skills.
Ability to relate to a wide variety of people from diverse backgrounds, and trauma experiences.
Developed skills in MS Office applications including Word, Excel, and Outlook. Experience in Database operations. Ability to design invitations, flyers, client notices and mange digital calendars etc.
Administrative skills, including activity coordination, record keeping, data entry, cash/credit card handling. Booking functions, activities, and catering.
Has attained, or willing to attain first aid/cpr certificate.
Desirable:
A knowledge and understanding of the experience of Forced Adoption and Forgotten Australians, Former Child Migrants.
Flexibility in availability for workdays

Proven volume recruitment experience across varied industries with proven capacity to work within legislation, policy and guidelines

About the Role
As Site Administrator, you will be the driving force behind the smooth and efficient operation of Good Shepherd’s Brimbank office. You’ll provide essential support to a range of vital program including Family Violence, Family Services, and Financial Counselling, ensuring our teams can deliver life-changing services to the community. You’ll take ownership of the day-to-day running of the site, delivering high-level administration, project support, and facilities management. Your proactive approach will keep everything running seamlessly, from managing resources and coordinating logistics to maintaining compliance and supporting organisational initiatives.
In this highly visible role, you’ll have direct contact with families, young people, and children, offering a compassionate and trauma-informed experience from the moment they walk through our doors. About the role
The Home Liaison Officer acts as the conduit between Central Service department leads and site Administration teams to ensure business systems and processes are managed effectively to mitigate transactional errors and that these systems/processes are streamlined for ease of learning and execution by our Admin teams.
You will be responsible for implementing and managing an end-to-end robust induction program and ongoing training of our Administration Officers. About the Role
We’re looking for a friendly and capable Administration Officer to join our team on a casual basis, varying from 1-3 days a week. There is the possibility of transitioning to part time in the future. This is an in-person role based at our Newstead clinic.
You’ll be the first point of contact for our patients, helping to manage the day-to-day running of the clinic and supporting our clinicians in delivering exceptional care. The clinic operates between 8:00am and 6:00pm, so availability within these hours is required.
Key Responsibilities
Greet and liaise with patients in a professional and compassionate manner
Manage clinician calendars, appointments, cancellations, and waitlists
Answer phone calls, respond to emails, and manage general enquiries
Coordinate new patient intake, referral documentation, and medical records
Communicate with external clinics, including GPs, psychologists, and other referrers
Process payments, issue invoices, manage Medicare/DVA billing, and arrange refunds where necessary
Maintain accurate and confidential patient records in accordance with privacy legislation
Monitor and order office and clinical supplies as needed
Support onboarding and orientation for new clinicians and staff
Open and close the clinic, ensuring the environment is clean, tidy, and welcoming
Perform general administrative tasks to support smooth clinic operations
About You
Previous experience in a healthcare, mental health, or medical reception setting is desirable
Familiarity with medical clinic software (preferably Xestro or similar)
Comfortable using online and cloud-based systems
Confident using Outlook and OneCloud, or quick to learn new tools
Excellent verbal and written communication skills
Strong organisational and time management abilities
High level of discretion and professionalism in handling sensitive health information
