MUST HAVE EXPERIENCE
To be considered for the role, you must have previous experience working in the Real Estate Industry. Such as being a current or previous Property Manager, Real Estate Sales Administrator, Real Estate Franchise Support or a Business Development Manager.
THE POSITION
This position is primarily split into 3 areas; Business Administration, Client Relations and Director Support.
Success in this role will require outstanding organisation and communication skills and the ability to take control of client processes from start to finish.
① Business Administration
You will be responsible for the proactive management of administration duties and deadlines for client transactions, as well as general office administration.
Executing your administrative tasks effectively and efficiently will ensure the smooth running of our business each day and provide our clients with an amazing experience during their time with us.
② Client Relations
For much of the transaction process, you will work with our directors and be our client's contact. As such, communicating effectively with them throughout this process is critical.
Alongside managing the transaction process and keeping our clients informed, there is a focus on building meaningful relationships before, during and after a transaction is complete.
We'd like to provide a 'concierge' service for our clients, making their time with us as hassle-free and enjoyable as possible, so your excellent communication and attention to detail is a must.
③ Director Support
The other aspect of the position is helping Directors with their responsibilities. These could include sporadic tasks such as arranging appointments, daily client updates or advising new client calls to make.

Meeting agendas
Contract preparation and other documentation for sales including working with our marketing coordinator on collateral
Task and deadline management
Management of database and CRM system
Attending appointments as required
Inbound and outbound calls
IDEALLY, CANDIATES SHOULD:
Be able to work in small, dynamic team and work at a fast pace
Be able to work remotely (from home 1-2 days per week) and work without daily supervision
Be able to follow checklists and have an eye for detail

We are ideally looking for someone seeking 30 hours per week initially (flexible hours) that are wishing to grow into a full time position.
Remuneration will be pro-rated should the successful candidate nominate to work less than full time hours.

Role Summary
To manage the day-to-day operations, maintenance, safety, compliance, and services of the building’s common property and shared facilities. Act as the primary on-site liaison for residents, contractors and the Strata Committee, ensuring the building remains safe, well maintained, cost efficient and compliant with relevant legislation.
Key Duties & Responsibilities
Oversee preventive and reactive maintenance of building systems (HVAC, lifts, plumbing, electrical, fire systems)
Conduct regular inspections of common areas, plant rooms, facades, etc.
Engage, supervise, evaluate contractors and vendors (cleaning, landscaping, security, lift maintenance, etc.)
Plan and manage minor capital works / upgrades
Maintain compliance with WHS, fire & safety, essential services, local building regulations
Maintain records, compliance registers, maintenance logs, incident reports
Prepare and deliver reports to the Strata Committee / Owners Corporation
Assist in budgeting, cost forecasting and expense control
Liaise with residents / owners: handle requests, notices, disruptions, communicate major works
Be on-call for emergencies outside normal hours; supervise contractors doing after-hours works
Required Skills, Qualifications & Attributes
Experience in building management, facilities management or relevant technical / trade background
Good knowledge of mechanical, electrical, plumbing, HVAC, fire systems, lift systems
Understanding of Victorian WHS, building codes, fire safety legislation
Strong organisational, time-management and project coordination skills
Excellent verbal & written communication skills; stakeholder engagement
Financial acumen—budgeting, cost control, reporting
Ability to work independently, problem solve, respond under pressure
Competence in using facility maintenance / asset management software / reporting tools
Second Language of Mandarin and Cantonese is preferred
Honest, loyal, neat and diligent staff to support the building operations
Mature personality
Preferable to have 2-3 years of experience in the Building Industries

On-site presence; regular inspections, walking, accessing service areas
Some physical duties (plant room checks, rooftop, etc.)
On-call responsibility for emergencies outside regular hours
Occasional weekend or after-hours work for scheduled major maintenance or urgent repairs
