We’re seeking a professional and proactive Personal Assistant to provide comprehensive administrative and personal support to Faz Najmi and his team.
This role is ideal for someone who thrives in a fast-paced, client-focused real estate environment and takes pride in delivering exceptional support and service. You’ll be the backbone of daily operations - coordinating appointments, managing communication, preparing property and marketing materials, and ensuring everything runs seamlessly from listing to settlement.
Key Responsibilities
Administrative Support
• Manage and organise the agent’s calendar - appointments, meetings, and property showings.
• Handle incoming calls, emails, and correspondence on behalf of the agent, ensuring timely responses and professional follow-ups.
• Prepare and collate key documents, presentations, and reports including market reports and campaign summaries.
• Coordinate open home bookings, preparation, and follow-up.
• Create CMA (Comparative Market Analysis) booklets and result reports.
• Delegate and track pointer sign placements for the team.
• Manage compliance documentation, database updates, and property details.
• Assist with ad hoc administrative or office support tasks as required.
Personal Support
• Assist with personal tasks such as travel arrangements, gift purchasing, and general errands.
• Manage personal appointments and commitments for Faz as needed.
• Always handle confidential information with discretion and professionalism.
About You
• Proven experience Real Estate Administration/Property Management or as a Real Estate PA/EA is essential.
• Highly organised, adaptable, and detail-oriented with strong multitasking ability.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office Suite; experience with real estate CRMs and marketing tools is a plus.
• Professional presentation and a proactive, can-do attitude.
• Discreet and reliable with a strong sense of integrity and accountability.
• Current driver’s licence and reliable vehicle.
• Knowledge of the real estate industry is highly regarded.

About You
To be considered for this role the ideal applicant will possess:
Minimum 3 years plus property management experience
Proven problem solving and conflict resolution skills are essential
Exceptional organisational and time management skills
Ability and willingness to adapt to the fast-paced environment
Current Real Estate Agent License or Certificate of Registration
Knowledge of NSW Residential Tenancies Act and relevant property legislation
Current Australian Drivers Licence and reliable vehicle
Strong customer service focus
