We are seeking a proactive and detail-oriented Production Planning & Tolling Coordinator to join our team. This role is pivotal in ensuring the smooth and efficient operation of our manufacturing and tolling activities.
You will be responsible for the management of the production schedule, working closely with the Production Manager on planning and resource allocation. In addition, you will coordinate tolling administration, support inventory and logistics, and provide essential operational and administrative support.
The ideal candidate will bring strong organisational and communication skills, with the ability to balance multiple priorities in a fast-paced environment. You will collaborate closely with internal teams, external tolling customers, and suppliers to ensure production targets, compliance requirements, and customer commitments are consistently met.
Forklift licences (LF and LO) and prior forklift operating experience will be highly regarded.
Key ResponsibilitiesProduction Planning & Scheduling
Develop, maintain, and adjust daily and weekly production schedules to meet customer requirements and business goals.
Schedule jobs considering tank availability, raw material readiness, workforce capacity, and order priorities.
Monitor production progress and make real-time adjustments for delays, shortages, or urgent requests.
Prepare and manage batch sheets for all production runs.
Tolling & Administration
Serve as the primary point of contact for tolling customers, managing orders, updates, and requirements.
Perform accurate data entry for all tolling activities, including documentation, invoicing, and compliance records.
Liaise with suppliers and customers to coordinate raw material orders, deliveries, and finished goods shipments.
Provide reporting, analysis, and order processing support to the sales team for tolling customers.
Inventory & Logistics
Conduct Material Requirements Planning (MRP) to ensure raw material and supply availability.
Oversee inventory management, including stock ordering, monitoring, and regular stock takes.
Manage stock requirements for tolling and non-tolling customers.
Operational & Compliance Support
Collaborate with production, warehouse, and operations teams to optimise efficiency and minimise downtime.
Provide administrative support to operations and production managers.
Assist with production activities, including safe forklift operation and down-packing when required.
Support HACCP & FSSC compliance, food safety, and quality requirements.
Report and escalate food safety hazards or risks as required.
Forklift licence (LF) essential, with a minimum 2+ years of safe forklift operating experience.
Strong organisational and multitasking skills with excellent attention to detail.
Excellent communication and interpersonal skills to engage effectively with stakeholders.
Proficiency in Microsoft Office (Excel, Word) and familiarity with ERP or inventory systems (preferred).
Ability to work independently and collaboratively in a fast-paced manufacturing environment.
Prior experience in manufacturing, logistics, or supply chain (desirable).
Full Australian work rights required.

Provide Professional Customer Service:
