North Shore and Bondi Junction Hand Therapy is an Allied Health practice specialising in the treatment of chronic and acute hand and upper limb injuries. We are seeking an enthusiastic Operations Manager to serve as the glue that holds our team of dedicated healthcare professionals together. Working between 3 and 5 days per week, responsible for three sites but predominantly based at the North Shore Private Hospital. 

This role requires a big smile and a can-do attitude as you will be required to work across the team where needed. Primarily, you will oversee back-office functions, including scheduling staff rosters, managing payroll and reconciliation via Xero, and ensuring the smooth operation of the business across all three locations. You will be assisted by the Practice Manager and the administration team, and there is no job too big or too small.

About the Role

As our Operations Manager, you'll be the backbone of our clinic – ensuring everything runs smoothly so our Hand Therapists can focus on what they do best: helping patients. You'll be the go-to person who keeps our team connected, our systems efficient, and our patients happy. You will be based out of the St Leonards clinic at North Shore Private Hospital.

Key Responsibilities

• Oversee daily clinic operations, from opening to closing procedures

• Lead and support our reception and administrative team

• Handle patient inquiries, feedback, and ensure an exceptional patient experience

• Manage relationships with suppliers, equipment vendors, and service providers

• Implement and improve operational systems 

• Coordinate staff rosters, leave management, and clinic coverage

• Liaise as required with the team of surgeons.

• Monitor and follow up accounts receivable, report debt levels to Practice Owner/Senior Practice Manager on a regular basis as required.

• Manage patient scheduling, bookings, and appointment optimisation to maximise clinic efficiency

• Be willing to step into the Medical Reception role where required

• Support marketing initiatives and community engagement activities

• Be the liaison between the clinical staff and the owner

• Manage the Xero Accounting software, mainly Payroll and Reconciliation 

What We're Looking For

• 3+ years' experience in practice management, healthcare administration, or operations (physiotherapy or allied health experience highly regarded)

• Natural problem-solver with excellent organisational skills

• A people person who can build rapport with patients, staff, and stakeholders

• Tech-savvy with experience in practice management software (experience with Cliniko or similar is a bonus)

• Understanding of healthcare billing, Medicare and private health insurance (HICAPS)

• Experience working with Xero

• Strong communication skills and ability to juggle multiple priorities

• Proactive attitude with ability to work independently
