Role Overview The Customer Service & Order Fulfillment Coordinator will be the key point of contact between customers, warehousing, transport providers, and internal teams. This role ensures timely and accurate order processing, stock release, delivery coordination, and customer communication. It also supports forecasting, inventory control, and international logistics. A detail-oriented approach and strong communication skills are essential.

Key Responsibilities Customer Service & Order Management- Receive and process customer orders via email and phone
- Confirm availability, delivery timelines, and product details
- Provide regular updates to customers on order status and delivery progress
- Manage order changes, discrepancies, and resolutions promptly
Inventory & Stock Release- Coordinate the release of stock from warehouse for order fulfillment
- Track inventory levels to support timely dispatch and avoid shortfalls
- Liaise with warehouse and logistics teams to ensure order accuracy
Delivery & Logistics Coordination- Arrange and track deliveries — locally and internationally
- Liaise with local transport providers and freight forwarders
- Support cargo-in-transit tracking, problem-solving delivery issues proactively
Forecasting & Supply Support- Assist the team in forecasting client demand based on historical data and trends
- Communicate forecast information to procurement and inventory teams
Data Entry & Documentation- Accurately maintain order records in internal systems
- Support documentation requirements for compliance, quality, and logistics
- Contribute to internal reporting on orders, delays, discrepancies, etc.
Optional: Accounts/Finance Support- Assist with invoicing, cost tracking, or reconciliation (if background permits)
- Learn financial processes with a view to supporting future succession plans
Required Skills & Experience- Strong customer service and communication skills (written and verbal)
- High attention to detail and accuracy in data entry and documentation
- Experience coordinating orders and deliveries in a logistics, warehouse or distribution environment
- Basic understanding of international freight/logistics processes is beneficial
- Ability to multitask, prioritise, and manage deadlines
- Comfortable working with numbers; experience with invoicing or basic accounting is a plus
- Competency in Excel, ERP/CRM systems, and general digital tools
Preferred Background- 2+ years in customer service, supply chain, logistics, or similar role
- Experience in a product-based business with warehousing and/or international logistics
- Exposure to inventory systems and stock release processes
- Accounting or finance experience highly regarded (but not required)

- Operational coordination or team leadership roles
