Position Title: Assistant Accountant
Employment type: Contract 9-12 months (potential to transition into permanent role)
Hours: Full-Time
Salary: 70,000 – 85,000
Location: On-site (must live locally)
Harbison Overview
Harbison is a charitable, community-owned, not-for-profit organisation that provides residential and non-residential care and support services for aged or disabled people, including a range of support services and systems to assist aged and disabled people to achieve maximum independence and integration within a residential or community setting, education and training of professionals and other care providers, and activities which are incidental or conducive to these objectives.
Currently, Harbison is an approved aged care provider, registered NDIS provider, approved childcare provider, retirement village owner, and one of the largest employers in the Southern Highlands. Harbison is governed by a Board of Directors which appoints a Chief Executive Officer who is delegated with day-to-day responsibility for the organisation.
Key Accountabilities
Resident Billing and Accounts Receivable
• Carrying out routine billing and reporting activities according to specific deadlines
• Perform routine accounts receivable process, including invoicing and collection efforts
• Monitor account receivable ageing reports, identify overdue balance and follow up with customers to collect payments
• Develop and maintain relationships with key customers and stakeholders, addressing their needs and concerns proactively
• Utilise strong interpersonal skills to communicate effectively with external stakeholders on matters relating to their billing
• Collaborate with internal departments to resolve billing inquiries and disputes in a timely manner
• Identifying and reporting doubtful debt to the finance manager on a regular basis
• Perform monthly reconciliation of account receivable, funding receivable and refundable deposit ledger to ensure accuracy and completeness
• Have a basic understanding in resident agreements to ensure appropriate billing and be able to explain the fees and charges and the payment terms to residents/financial representatives
• Generate and distribute residents’ fee/refundable deposit statements
• Develop and maintain relationship with debt collection agency
Client Management
• Managing client relationships, serving as the primary point of contact for billing inquiries and issue resolution
• Maintain accurate customer records
• Addressing client concerns and inquiries in a timely and professional manner
• Ensure the accuracy and integrity of client records, implementing quality control measures to prevent data errors and inconsistencies
• Proactively communicate with clients regarding billing updates, changes to services, and other relevant information
Government Funding
• Perform monthly Medicare claim submission
• Complete the monthly funding reconciliation by deadline and post the revenue journals in system
• Tracking and monitoring government funding to ensure no missing funding, reporting any discrepancies promptly
• Ensuring timely adjustments to billing and invoicing processes based on changes in government funding, residents’ status and regulations
Other
• Perform bank and credit card accounts reconciliation on daily basis
• Assist in data submission for grant funding as per manager’s request
• Assist in preparing weekly cash flow reports and regularly monitoring of cash flow
• Assist in annual audit process, by collecting and storing the supporting documents
• Assist in other annual prudential compliance reports
• Ad hoc tasks as per manager’s request

Requirements
• Bachelor’s degree in accounting, Finance, or a related field
• Minimum of 1 years’ experience in financial compliance and reporting
• Strong knowledge of accounting principles and regulations
• Excellent analytical and problem-solving skills
• Strong attention to detail and accuracy
• Excellent communication and interpersonal skills
• Ability to work independently and as part of a team.
• Strong computer skills, including proficiency in Microsoft Office and accounting software.
• Knowledge of aged care funding mechanisms would be an advantage.
