We are seeking a highly organised, proactive, and detail-oriented Executive Assistant to support the Managing Director across multiple fast-growing ventures in the finance, technology, and innovation sectors.
This role is ideal for someone who thrives in a dynamic environment, communicates with absolute professionalism, and can seamlessly manage both business administration and creative PR-related initiatives.
Manage and coordinate the Managing Director’s calendar, meetings, and travel arrangements.
Draft, review, and edit high-level business correspondence, proposals, and presentations.
Maintain confidentiality and handle sensitive information with absolute discretion.
Prepare meeting agendas, minutes, and follow-up actions.
Liaise with internal teams, partners, and external stakeholders on behalf of the MD.
Assist in managing multiple ongoing business projects, ensuring timelines and deliverables are met.
Track progress across ventures (finance, technology, and automotive sectors) and prepare status updates.
Support documentation, compliance submissions, and reporting activities.
Manage and schedule the MD’s professional social media presence (LinkedIn, company profiles, and press updates).
Coordinate PR and media campaigns, ensuring alignment with brand image and strategic goals.
Liaise with media outlets, PR agencies, and internal marketing teams for content approvals.
Monitor engagement analytics and maintain a consistent posting schedule across platforms.
Minimum 3+ years of experience in a similar executive or senior administrative role.
Exceptional written and verbal English communication skills — must be confident in writing professional emails, reports, and marketing copy.
Fast and accurate typing skills with a strong command of MS Office, Google Workspace, and professional communication tools (e.g., Canva, LinkedIn, Xero, Monday.com, or similar).
Demonstrated attention to detail, time management, and multitasking ability.
Strong organisational and interpersonal skills, with a proactive “get-it-done” mindset.
Experience in managing social media or PR activities for an executive or business brand is highly desirable.
Work directly with a visionary Managing Director involved in multiple high-growth Australian companies (Finance, Technology, AI, and SaaS).
