About the Role
We are seeking an experienced and proactive Administration Supervisor to lead our front-of-house and administrative operations. This role suits someone who thrives in a collaborative, people-centred environment and enjoys the balance of leadership, coordination, and client service.
Working closely with our Practice Manager, you will ensure the smooth day-to-day functioning of the clinic, uphold service standards, and contribute to a supportive and organised environment for clients and clinicians alike.
Key Responsibilities
Leadership & Supervision: Mentor and support administrative staff, fostering a cohesive and high-performing team.
Clinic Operations: Oversee scheduling, rostering, and workflow management to ensure seamless clinic operations.
Client Care: Welcome clients, handle enquiries, manage referrals and Mental Health Care Plans, and maintain a calm, professional front desk presence.
Financial Administration: Process payments, reconcile accounts, manage Medicare and WorkCover claims, and support debt collection and banking tasks.
Clinician Support: Provide administrative assistance to the clinical team, including document preparation and client record management.
Compliance & Systems: Ensure processes align with privacy and ethical standards and contribute to ongoing system improvements.
About You
Minimum 1–2 years’ experience in a senior administrative or supervisory role (health or allied health preferred).
Strong leadership, communication, and interpersonal skills.
Excellent organisation, attention to detail, and ability to multitask effectively.
Experience with practice management software such as Halaxy, Power Diary, or Cliniko (preferred).
Professional, warm, and confident manner with both clients and team members.
Values-driven and motivated to contribute to a collaborative clinical environment.

Competitive hourly rate: $34-40 per hour, commensurate with experience.
