Who are we looking for?
- Proven experience in an administrative support role, ideally within commercial property.
- Qualification in Business Administration, Facilities Management, or a related field (Diploma level or equivalent).
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint, at an intermediate level.
- A general understanding of building services or facilities operations is highly regarded.
- Strong customer service skills with a professional and proactive approach to stakeholder engagement.
- Basic financial acumen, including the ability to assist with budgeting, invoicing, and expense tracking.
The Role
The Facilities Coordinator provides vital administrative support to the facilities management team, assisting in the effective operation, compliance, and risk management of properties within the managed portfolio. This role ensures the smooth execution of day-to-day tasks, enabling the facilities team to focus on on-site responsibilities and deliver high-quality service in line with client expectations and Knight Frank’s standards.
Key Responsibilities
- Coordinate day-to-day building maintenance and repairs across commercial properties.
- Ensure compliance with all safety, regulatory and risk management requirements.
- Oversee contractor and vendor performance to maintain service quality.
- Conduct regular site inspections and maintain building presentation standards.
- Manage work orders, maintenance records and reporting through Knight Frank systems.
- Liaise with tenants, clients and internal teams to resolve issues and support operations.
